A Payroll & Benefits Specialist supervises and administers the organization’s compensation systems, ensuring precision and promptness. Their duties generally involve collecting and structuring timesheets, preparing and handling paperwork, tracking employee attendance and schedules, updating databases, managing and processing invoices, and keeping detailed records of all financial transactions.

Payroll & Benefits Specialist Responsibilities

  • Process payroll on a bi-weekly or monthly basis for employees, ensuring precision and adherence to company guidelines and legal standards.
  • Input information into payroll systems and administrative software.
  • Calculate employee wages, benefits, tax withholdings, commissions, and other financial elements.
  • Remain informed about federal, state, and local payroll and benefits legislation.
  • Compile and submit necessary reports to government agencies and benefits providers.
  • Keep current with regulations and laws related to payroll and benefits at federal, state, and local levels.
  • Maintain precise records of payroll documents and transactions.
  • Address payroll-related questions and resolve issues.
  • Conduct reconciliations of account balances and payroll.
  • Generate financial statements for accounting and auditing purposes.
  • Produce regular payroll reports for management review.

Payroll & Benefits Specialist Qualifications

  • A degree in accounting, business administration, or a related discipline is preferred.
  • At least 5 years of experience in payroll or a comparable position.
  • Familiarity with payroll systems (e.g., ADP, Paychex) and benefits administration platforms.
  • Deep understanding of applicable labor laws and regulations.
  • Exceptional skills in both verbal and written communication, along with strong interpersonal abilities.
  • Excellent organizational skills and effective time management capabilities.
